Terms of service

RentalThread is provided by RentalThread LLC.

• Contact: contact@rentalthread.com

• "Service": the RentalThread website, waitlist, platform and related apps.
• "Account holder" or "customer": the person or company that creates an account and, where applicable, pays the subscription.
• "User": anyone who accesses the service, including people invited by an account holder, such as tenants, agents and maintenance professionals.
• "Your content": the data, documents, photos, messages and other material that you or your invited users upload.

RentalThread is a collaborative tool for managing rental properties: tracking rent and expenses, storing documents, handling maintenance requests, sharing listings and coordinating the people involved.

RentalThread is software. We are not a party to any rental agreement, service contract or payment between users. We are not a real estate agency, a property manager, a contractor or a payment institution, and we don't provide legal, tax or financial advice. Users are responsible for their own agreements and for complying with the laws that apply to them, including tenancy, consumer, tax and anti-discrimination law.

Joining the waitlist is free and creates no obligation. It doesn't guarantee access, a launch date or particular conditions. Early access versions may have limited features, change without notice and be less stable than the final service.

While the waitlist is open, everyone who confirms their email gets a personal invite link. When people sign up through it and confirm their own email, you move up the waitlist and can earn AI credits:

• When the number of people you invited who confirmed their email reaches 3, you get 300 AI credits.
• If you joined through someone's invite link and confirm your email, you get 100 AI credits.

We add the credits to your account when RentalThread launches and you create an account with the same email. They follow the rules for AI credits in these terms. Each person can earn the invite reward once. Credits have no cash value and can't be transferred.

Only real people who confirm their own email count. We may withhold rewards and remove signups that use fake, disposable or duplicate addresses, or that otherwise abuse the program.

We may change or end the program for future invitations. Rewards you have already earned are kept.

• You must be at least 18 and able to enter into a binding contract.
• You must give accurate information and keep it up to date.
• You're responsible for keeping your login details secure and for all activity in your account.
• If you invite other users, you're responsible for having a valid reason and, where needed, a legal basis to share their data with them and with us.
• Email contact@rentalthread.com as soon as you suspect unauthorized access.

• We bill paid plans in advance, monthly or yearly, through Stripe. You see the price before you subscribe, and checkout shows whether it includes taxes.
• Subscriptions renew automatically at the end of each billing period until cancelled.
• You can cancel at any time in your account settings. Cancellation takes effect at the end of the current billing period, and you keep access until then.
• Except where the law requires otherwise, payments aren't refunded for partial periods.
• We may change prices for future billing periods. We'll tell you at least 30 days in advance, and you can cancel before the new price applies.
• If a payment fails, we may suspend paid features after notifying you and giving you reasonable time to update your payment method.

• Each plan includes a monthly amount of AI credits, used when AI features do work for you.
• Included credits renew at the start of each billing period and don't carry over to the next one.
• You can buy extra credit packs. Purchased credits remain valid for the period shown when you buy them and are used after your included credits.
• Credits have no cash value, can't be transferred or exchanged for money, and aren't refunded when unused, except where the law requires it.
• The platform shows how many credits each feature uses. We may change this with notice.

If you're a consumer in the European Union, you have 14 days from subscribing to withdraw without giving a reason, by writing to contact@rentalthread.com. If you ask us to start the service during that period, you'll pay a proportional amount for the days you used it. You lose the right of withdrawal for credit packs once you start using those credits, provided you agreed to this when buying them.

You keep all rights to your content. You give us a limited licence to store, process, display and transmit it only as needed to provide the service to you and the users you share it with.

You're responsible for your content and confirm that you have the right to upload it. Don't upload content that is unlawful, infringes others' rights or contains special categories of personal data unless strictly necessary.

You can export your content at any time while your account is active and for 30 days after it ends.

AI features produce drafts based on the content you provide. AI output can be inaccurate or incomplete. It's always labeled, and you're responsible for reviewing it before relying on it, saving it or sending it to others. AI output is not legal, tax or financial advice. We don't use your content to train AI models.

You agree not to:

• Break the law or help others do so, including tenancy, anti-discrimination and data protection law.
• Upload malware, spam or content that is abusive, harassing or misleading.
• Access other users' data without authorization or try to bypass security or usage limits.
• Copy, resell or reverse engineer the service, or use it to build a competing product.
• Overload the service or access it with automated tools other than our official integrations.

We may remove content or suspend accounts that break these rules, as described below.

Owners, managers, agents, tenants and maintenance professionals act on their own account and are not our employees, agents or partners. We don't check their qualifications, licences or insurance and aren't responsible for the quality of their work, their conduct or their agreements with each other. Users resolve disputes between themselves. Third-party services we link to have their own terms.

We aim to keep the service available and secure, but it may be interrupted for maintenance, updates or reasons outside our control. We'll try to give notice of planned maintenance. We may improve or change features over time. If we remove a significant paid feature, we'll notify you in advance, and you may cancel and receive a proportional refund of prepaid fees for the remaining period.

The service, including its software, design, name, logo and documentation, belongs to RentalThread LLC or its licensors. These terms give you a limited, non-exclusive, non-transferable right to use the service during your subscription. If you send us feedback, we may use it without restriction.

Our Privacy policy explains how we handle personal data. Where we process personal data on behalf of an account holder (for example data about their tenants), we act as their processor under the Data Processing Agreement included in these terms, in line with Article 28 of the GDPR: we process data only on their instructions, keep it confidential and secure, use sub-processors under equivalent obligations, help them respond to data subject requests, notify them of breaches without undue delay, and delete or return the data when the service ends.

You can close your account at any time. We may suspend or close an account if you commit a serious or repeated breach of these terms, don't pay, or if the law requires it. Where reasonable, we'll warn you first and give you time to fix the issue. When an account closes, you can export your content for 30 days, after which we delete it as described in our Privacy policy.

Nothing in these terms limits liability that can't be limited by law, including for death or personal injury caused by negligence, fraud, or gross negligence, or your rights as a consumer.

For business customers, and to the extent permitted by law, we aren't liable for indirect or consequential losses, lost profits, lost data that you could have backed up, or losses caused by other users or third parties. Our total liability for any claims in a 12-month period is limited to the fees you paid us in that period, or 100 euros if you used the service for free.

We may update these terms to reflect changes to the service or the law. For significant changes we'll notify account holders at least 30 days before they take effect. If you don't agree, you can cancel before then. Continuing to use the service after the changes take effect means you accept them.

These terms are governed by the laws of the jurisdiction where RentalThread LLC is registered. Disputes will be handled by the competent courts of the jurisdiction where RentalThread LLC is registered. If you're a consumer, you keep the protection of the mandatory laws of your country of residence and can bring claims in your local courts. EU consumers can also use the European Commission's online dispute resolution platform.

If any part of these terms is found invalid, the rest remains in force. Not enforcing a right doesn't mean we waive it. You may not transfer your account or these terms without our consent. These terms, together with the Privacy policy and any order details, are the entire agreement between you and us about the service.
